This application ("the Tool") is an AI-assisted document preparation service that helps South African residents complete their SAPS 271 firearm licence application forms. It is not affiliated with or endorsed by the South African Police Service (SAPS).
2. What Personal Information Is Collected
To generate your application documents, the Tool processes the following categories of information that you voluntarily enter:
- Full name, initials and surname
- South African ID number or passport number
- Date of birth and age
- Residential and postal address
- Contact details (telephone numbers and email address)
- Occupation and employer information
- Marital status and spouse details (where applicable)
- Firearm details (make, model, calibre, serial numbers)
- Competency certificate information
- Criminal and administrative history disclosures
- Safe storage details
3. Why It Is Collected
Your personal information is collected solely for the purpose of generating pre-filled application documents, specifically:
- A completed SAPS 271 application form (PDF)
- A personalised motivation letter
- A supporting documents checklist
The information is used only to populate these documents during your active session. It is not used for marketing, profiling, or any purpose beyond document preparation.
4. How Your Data Is Processed
Your ID number and personal details are processed locally in your browser session and in temporary server memory only. They are not written to any external database, analytics platform, or permanent server storage. When your session ends, your data is not retained.
Your motivation letter is generated using the Anthropic Claude AI API. The text you provide (including relevant personal details you have entered) is sent to Anthropic's servers to generate the letter content. Anthropic's own privacy policy applies to this processing. Your data is not used to train AI models under Anthropic's standard API terms.
5. Sharing With Third Parties
We do not sell, rent, or share your personal information with any third parties for commercial purposes. The only external service that receives any of your data is the Anthropic Claude API (for AI-generated content), as described above. No advertising networks, data brokers, or other third parties receive your data.
6. Beta Testing Email Collection
During the beta testing phase, users who voluntarily provide their email address are consenting to be contacted for feedback purposes only. Email addresses collected during beta testing are stored securely and used solely to send a feedback survey. They will not be used for marketing or shared with any third party. You may request deletion of your email address at any time by contacting john@licencemygun.co.za.
7. Compliance With POPIA
This Tool is operated in accordance with the Protection of Personal Information Act 4 of 2013 (POPIA) of South Africa. In terms of POPIA, you have the right to:
- Be informed about how your personal information is processed
- Access personal information we hold about you
- Request correction of inaccurate information
- Request deletion or destruction of your personal information
- Object to the processing of your personal information
- Lodge a complaint with the Information Regulator of South Africa

8. Data Deletion Requests
Because personal data is not stored on our servers beyond your active session, there is generally no persistent data to delete. However, if you believe information about you has been retained and wish to request its deletion, or if you have any privacy-related queries, please contact us by email:

9. Cookies and Tracking
This Tool does not use cookies, tracking pixels, or analytics scripts. No browsing behaviour is monitored or recorded.

All data transmitted between your browser and this application is encrypted using HTTPS. We take reasonable technical measures to protect your information during your session.
11. Children
This Tool is intended for use by adults aged 21 and over (the minimum age for a firearm licence in South Africa). We do not knowingly collect personal information from persons under 18.
12. Changes to This Policy
We may update this Privacy Policy from time to time. The date at the top of this page reflects when it was last revised. Continued use of the Tool after any changes constitutes acceptance of the updated policy.
